Business Process Automation for SMEs

Every day, hours go into work that's always the same, like copying orders from an email, moving data between systems or updating an overview for the Friday meeting. Necessary, but it keeps your people from the work they were actually hired for.

I automate those tasks with workflows and, where it really helps, with AI. So it runs by itself, reliably, with an alert when something is off.

  • Less manual work
  • Fewer errors, because the same steps go the same way every time
  • Tasks keep running, even when someone is sick or on holiday

Sound familiar?

  • Orders, confirmations or invoices arrive by email or PDF and are retyped by hand.
  • Colleagues copy data between systems, spreadsheets and portals.
  • Recurring overviews and reports take hours every week.
  • Tasks pile up when that one colleague is on holiday.
  • You only notice errors from manual work when a customer or supplier calls.

Sound familiar? Then there's time in your processes you can win back.

What you'll notice

  • Less manual work. Your team spends time on customers and decisions instead of retyping.
  • Fewer errors, because the same steps go the same way every time.
  • Tasks keep running, even when someone is sick or on holiday.
  • You see immediately when something is off.
  • Everything documented. You know exactly what happens automatically.

What I automate for you

  • Order processing. Orders from email, portals or your online store automatically processed in your ERP or WMS.
  • Data entry. Data from documents, forms or systems automatically in the right place, without retyping.
  • Reporting. Recurring overviews that build themselves and land in your inbox on time.
  • Alerts and checks. A signal when something is off, such as an order that gets stuck or stock below a minimum.
  • AI where it really helps. For example extracting data from PDFs or emails, or sorting messages. Not as a goal in itself, only when it works reliably.

I build AI agents and workflows, among other things, but also ‘old-fashioned’ solid code in your own environment. Think Python, TypeScript, SQL.

AI workflows and AI agents

A lot of work needs more than fixed rules, like understanding an email, reading a document or making a judgement call. That’s where I use Large Language Models (LLMs), directly through their APIs. I use any AI provider the client prefers. Including the new Jev System One.

I build on two levels.

  • AI workflows. A fixed process in which AI carries out one or more steps, such as extracting data from a PDF, assessing an email or writing a summary. The rest of the process stays predictable and controllable.
  • AI agents. An agent gets a goal and the right tools, such as access to your systems, and decides the steps itself. Multiple agents can work together, each with its own role, coordinated by an orchestrating agent. That way they can also take on tasks that don’t play out the same way every time.

Honest advice here too. Not everything needs to be an agent. A workflow with a single AI step is often more reliable and cheaper. I use an agent where the work genuinely varies.

An agent shouldn’t just work today, but a year from now as well. That’s why I build them to be resilient.

  • Clear boundaries. What can the agent do on its own, and where does a human decide?
  • Checks on the output. If something doesn’t add up, the agent falls back on a fixed route or asks for help.
  • Logging and monitoring. You see what the agent did and why.
  • Testing with real examples. Also after an update of the underlying model, so its behaviour doesn’t change unnoticed.

I build and use agents every day for my own business. They help me with bookkeeping, prepare social media posts for my own approval and, of course, analyse large amounts of data.

Do it yourself or custom-built?

Honest advice first. For simple steps, such as forwarding an email or adding a row to a spreadsheet, tools like Zapier or Make are often enough. You can easily set those up yourself. In that case, that's what I'll recommend.

Custom-built pays off when

  • the process touches multiple systems or has non-standard rules;
  • it involves large volumes and errors cost money or customers;
  • you want someone to keep an eye on it and adjust it when something changes;
  • the subscription costs of separate tools rise as you grow.

Not sure? In the introductory call you’ll hear right away which route fits best.

How I work

  1. Introduction. We discuss which tasks currently take the most time and which systems are involved. Free and without obligation.
  2. Analysis and proposal. I map the process step by step, including who does what and what happens if something goes wrong. You get a concrete proposal with a price.
  3. Build and test. I build the automation and test it with real examples from your daily work, including the exceptions.
  4. Go-live and management. After go-live I keep an eye on the automation with monitoring and alerts. If something changes in your process or systems, I adjust it.

What does process automation cost?

You pay a fixed project price. Most projects fall between €1,000 and €5,000 (excl. VAT), depending on the number of steps and systems. After that you can choose fixed monthly management of €150 to €500 (excl. VAT) for monitoring, maintenance and adjustments.

A handy calculation. How many hours per week does the task take now, and what does that hour cost? You often earn back the investment within a few months.

After the introductory call you’ll get a clear price estimate. No surprises. See all pricing

Why Tovy

  • One point of contact. You work directly with the engineer who builds your automation. No account managers or middle layers.
  • Process first, then technology. With a background in business administration and supply chain management, I first check whether a step is needed at all, before I automate it.
  • Integrations, data and automation from one source. An automation often touches your systems and your reports. I build all of it myself. Integrations · Data warehouse and reporting

FAQ

Frequently asked questions

Which processes can you automate?

Mainly tasks that always follow the same steps and are currently done by hand, such as processing orders, transferring data between systems, creating reports and running checks. In the introductory call we look at which task will deliver the most.

How quickly is the first automation running?

The first automation is usually live within 2 to 4 weeks. After that we keep building step by step.

Will AI take over my employees' work?

No. AI takes over the boring, repetitive part, such as extracting data from a document. Your employees stay in control and have time left for work that needs people.

What's the difference between an AI workflow and an AI agent?

An AI workflow follows fixed steps, one or more of which are carried out by AI. An AI agent gets a goal and decides the steps itself. Workflows are more predictable; agents are more flexible for work that varies every time. Often a combination works best.

What happens if something goes wrong?

Every automation has monitoring. If something goes wrong or looks off, you get an alert instead of it quietly piling up. With monthly management I fix it.

Who owns the automation?

You do. Everything runs in your own environment and you get the documentation and access to the code. If we stop working together, everything simply keeps running.

Do I need technical knowledge?

No. I explain everything in plain language and take care of the technical side. You tell me how your business works and where things get stuck.
